Connect Expensify

Last updated

Connecting Expensify lets your Modules look at recent expense reports, for example to total up a month of spending or to find a missing receipt category. You paste two details from Expensify, and Raileon keeps them encrypted.

Raileon can only read. It cannot create, submit, approve, or reimburse anything in Expensify, and it does not mark reports as exported.

What your Modules can do

  • List recent expense reports with their status, total and submitter. By default it looks at the last 90 days. You can ask for a date range of up to a year, or only reports in one state such as approved.
  • See the first few expenses in each report: the date, merchant, amount and category.

Reading never needs approval, because nothing is changed. Merchant names and report names are typed by your team or read from receipts, so your Modules treat them as information only, never as instructions.

Before you start

You need an Expensify account. The credentials give access to the reports that account can see, so a workspace admin account shows the most.

Find your details in Expensify

  1. Sign in to Expensify and open the integrations page at expensify.com/tools/integrations.
  2. Expensify shows a partnerUserID and a partnerUserSecret. If you have not made them yet, there is a button to generate them.
  3. Copy both. Keep the secret private. If you ever share it by mistake, generate new ones on the same page.

Connect Expensify

  1. Open Apps

In your dashboard, go to Apps in the left sidebar and select Connect on the Expensify card.

  2. Paste your details

Enter the partnerUserID and the partnerUserSecret.

  3. Test and save

Select Test connection. When it passes, save. The Expensify card then shows Connected.

Expensify allows only a few requests per minute, so a Module may need to wait a moment between lookups.

Disconnect Expensify

Open Apps, find the Expensify card, and select Disconnect. To be thorough, also generate new credentials on the Expensify integrations page, which stops the old ones working.
