Business process automation services, built and run for your business

Raileon builds business process automation for companies whose work has outgrown the people doing it. We map how a process actually runs, build the automation around it, connect it to the tools you already use, and keep it running. A person still approves anything that reaches a customer or spends money.

You don't need a finished plan to start. Bring the process that eats the most hours, and we'll show you what's worth automating.

The problem: processes that only work when someone remembers

Every business has them. A lead waits hours for a reply because the inbox is busy. Someone rebuilds the same Monday report by copying numbers out of four tools. Invoices go out late because the details live in an email thread. Client documents arrive by email, text and upload, and somebody has to file them.

None of this is hard work. It is constant work. Every step needs a person to do something by hand, so the process breaks the week someone is out, and each hand-off is a chance for human error. Hiring adds capacity, but the process stays fragile.

Business process automation fixes the process, not just the headcount:

  • Steps that follow rules run on their own.
  • Steps that need judgment get a draft, and a person approves it.
  • Everything leaves a record you can check.

The benefit of business process automation: fewer dropped balls, faster responses, and a team working on what needs a person.

What we build

We build custom automation software around the way your business already works. You don't have to move onto a new platform. Typical automated processes:

  • Lead intake and follow-up. New inquiries are captured from your forms and inboxes, logged in your CRM and answered with a drafted reply that you approve. Follow-ups go out on the schedule you set.
  • Client intake and documents. Incoming files are named, sorted and filed to the right record, and the right person is told. Missing items trigger a reminder.
  • Scheduling. Availability is checked and meetings are booked on your calendar, with confirmations handled for you.
  • Reporting. Data is pulled from the tools you use, and the report is built and delivered on the day it's due, with no copy-paste.
  • Finance admin. Invoices are drafted in your accounting system, overdue invoices are surfaced and payment reminders are prepared for approval.
  • System updates. When something changes in one tool, the others are updated, so your CRM, calendar and spreadsheets agree.

Some steps need judgment: reading a document, drafting a reply, sorting a request. An AI Module handles those, and a person approves the result where it matters.

That is the difference from older robotic process automation (RPA), which repeats clicks on a screen and breaks when the screen changes. We connect through APIs and use AI only where a rule can't do the job. More on the AI side: AI systems development.

How it works

  1. 1
We map the process as it really runs. On a 20-minute call we walk through the steps, the tools, the hand-offs and where the time goes.
  2. 2
We design the automation and the approvals. Each step is automated, drafted for approval, or left to a person. You decide where the approval lines sit.
  3. 3
We connect your tools. You connect your own accounts, and we walk you through each one.
    • Our Modules act today in Gmail, Outlook, Google Calendar, Calendly, Slack, HubSpot, QuickBooks, Xero, Stripe and DocuSign. The integrations page shows the current status of every app.
    • Other systems are connected through their APIs, built per engagement.
  4. 4
We run it. Your automations run in your own isolated workspace. You see every action in your dashboard, Mission Control. When something fails, your Raileon team fixes it, so nothing breaks quietly.

What we run today

We run our own operations on these systems. Every one below is live today.

  • Lead follow-up for our own sales team

Every inquiry from an online marketplace is logged and gets a drafted reply within minutes. A person approves each reply before it goes out, and follow-ups run on schedule.

  • A back office that runs itself

Contacts from every company mailbox pulled into one list, automated senders removed, duplicates merged, and the rest split into call and email lists. One dashboard tracks every task.

  • Monitoring and reporting for a trading group

A monitoring and reporting layer built on the systems the team already runs, so they see what changed and what needs attention without digging for it.

How pricing works

Monthly care starts from $1,999 a month, for managing the systems you have in place. New builds and upgrades are quoted separately, because no two businesses run the same processes.

  • After the call you get a written proposal with any setup fee and a monthly plan.
  • AI usage is billed at the agreed rates. Or you can connect your own AI provider account and pay the provider directly, with no Raileon markup.
  • A monthly AI budget and an always-on safety limit keep usage from running away.
  • Contracts run 12 months or quarterly.

Start with work that is frequent, rule-based and easy to get wrong: lead follow-up, intake, scheduling, reporting and system updates. On the call we rank your processes by time spent and risk, so you start where automation pays back fastest.

No. It takes the repetitive steps off your team so they can spend their time on clients and decisions. Anything customer-facing waits for a person's approval.

Usually not. We build around the tools you already run and connect through their APIs. If a tool can't be connected, we tell you on the call.

RPA records clicks and breaks when a screen changes. A no-code tool leaves the building and the fixing to you. We connect at the API level, add AI only where judgment is needed, and run and monitor the automations for you.

Sensitive steps are drafted for approval, so mistakes are caught before anything goes out. Every action is logged in your dashboard, and your Raileon team fixes failures and adjusts the rules.

Each client's AI runs in its own isolated workspace, and your data is encrypted in transit and at rest. Your business data is never used to train public AI models. Details are on our security page.

It depends on how much we're setting up. Once the scope is clear, we agree a schedule with you in the proposal.
