AI integration services for the systems you already use
Raileon connects AI to the software your business already runs: your email, calendar, CRM, accounting and documents. That way AI works inside the workflow instead of in a separate chat window.
We scope the integration, build it, test it on your real data, and keep it running. A person approves anything that reaches a customer or moves money.
You don't need a fully formed AI strategy to start. Bring the systems you use and the work that slows you down.

The problem: AI that sits beside the work, not in it
Most AI adoption stalls at the same point. People use a chat tool on their own, copying information in and pasting answers back out. The AI can't see your CRM. It can't check the calendar. It can't draft the invoice in your accounting system. So it saves a few minutes here and there, and the actual process doesn't change.
Real AI integration means the AI reads the context it needs from your existing systems, does its part, and writes the result back where your team already works. That takes careful work on data flows, permissions, approvals and monitoring. It is the part most projects skip.
What our AI integration services cover
- Email and calendar. AI reads inbound email, drafts replies for approval, checks availability and books meetings. It is live today in Gmail, Outlook, Google Calendar, Outlook Calendar and Calendly.
- CRM. New contacts are created and records updated from emails, forms and meetings. HubSpot is live today. Other CRMs connect, with actions built per engagement. See CRM automation.
- Accounting and payments. Invoices are drafted in QuickBooks or Xero, and overdue Stripe invoices are surfaced so they can be chased. The Stripe connection is read-only.
- Documents and e-signature. Incoming documents are read and classified, and agreements are sent out through DocuSign.
- Team messaging. Updates, alerts and approval requests are posted to Slack.
- Everything else. Inbound webhooks can start a workflow, and outbound webhooks can feed Zapier, Make or your own systems. Systems without a ready connector are integrated through their APIs, built per engagement.
The integrations page shows the honest status of every app: what our Modules can act on today, what is available on request, what is connect-only, and what is coming soon.
On top of these connections we build the AI components themselves: generative AI that drafts and summarizes, classifiers that sort requests, and AI Modules that carry out multi-step tasks. That is the AI systems development side of the work.
How we integrate AI safely
- Least access needed. Where a step only needs to read, the connection reads. You connect your own accounts and can see what each connection does.
- Your own workspace. Each client's AI runs in its own isolated workspace, and data is encrypted in transit and at rest.
- No training on your data. Your business information never trains public AI models.
- Approvals built in. Customer-facing actions wait for your approval. Spending is confirmed with you first.
- Logged and watched. Every action appears in your activity feed. When an integration fails, your Raileon team fixes it, so nothing breaks quietly.
- Spend limits. A monthly AI budget and an always-on safety limit, or your own AI provider account with no markup.

What we run today
We run our own operations on these systems. Every one below is live today.
Lead follow-up for our own sales team
Every inquiry from an online marketplace is logged and gets a drafted reply within minutes. A person approves each reply before it goes out, and follow-ups run on schedule.
A back office that runs itself
Contacts from every company mailbox pulled into one list, automated senders removed, duplicates merged, and the rest split into call and email lists. One dashboard tracks every task.
Monitoring and reporting for a trading group
A monitoring and reporting layer built on the systems the team already runs, so they see what changed and what needs attention without digging for it.
Our integration process, and what you get at each stage
| Stage | What happens | Deliverable |
|---|---|---|
| 1. Business requirements | On a 20-minute call we map the work, the systems involved and where AI helps. | A short list of integrations worth building, in priority order. |
| 2. Data and access check | We look at which systems hold the data and how they can be reached. | A clear yes, no or "needs work" for each system, before any build. |
| 3. Written proposal | Scope, data flows, approval rules and cost. | Setup and monthly plan in writing. |
| 4. Build and test | Connections set up with you, then tested on real examples from your business. | Working integrations, checked before they go live. |
| 5. Run | Switched on with approvals, then monitored and improved. | An activity log and a team that owns uptime. |
