CRM automation that keeps your pipeline current
A CRM is only as good as what gets typed into it, and that is the problem. Raileon builds CRM automation that captures every lead, keeps records current, drafts the follow-ups and builds the pipeline report. Your team stops doing data entry and starts doing sales.
We build it around the CRM you already use, run it for you, and keep a person on anything that reaches a customer.

The problem: the CRM is always a week behind
You bought the CRM to see every deal in one place. In practice:
- Leads arrive by web form, email and phone, and some never make it into the system.
- Notes from calls live in someone's head or inbox.
- Duplicate contacts pile up.
- Follow-ups depend on a rep remembering.
- The Monday pipeline report takes half a morning and is out of date by lunch.
None of this is the CRM's fault. Manual data entry is the weakest link in every sales process. People are busy, so updates get skipped, and the leads that slip through are the ones you paid the most to get.
CRM workflow automation removes the typing. Records update themselves from the activity that already happens in your email and calendar. Follow-ups are drafted on time. Reports build themselves.
What we automate in your CRM
- Lead capture. Every inquiry from your web forms and inboxes becomes a contact, with the source recorded, so nothing lives only in an inbox.
- Speed to first reply. A first response is drafted the moment a lead arrives. You approve it, and it goes out while the lead is still interested.
- Follow-up on schedule. The next touch is drafted on the cadence you set and held for your approval. When a lead replies, the sequence stops automatically.
- Updates from real activity. Emails, booked meetings and signed documents update the record and the deal stage, so reps don't have to.
- Meeting booking. Availability is checked against your calendar and meetings are booked onto the right record.
- Tasks and reminders. When a deal goes quiet, the owner gets a task, not a surprise at the end of the quarter.
- Data hygiene. Duplicates are merged, missing fields flagged, and contacts tiered so your team works the best ones first.
- Pipeline reporting. A weekly summary of new leads, stage changes and stalled deals, delivered to your inbox on the day you choose.
AI handles the parts that need judgment, such as reading an email to decide whether it is a new lead, or drafting a reply in your voice. Simple rules handle the rest.
Which CRMs we work with
- HubSpot: live today. Our Modules create and update contacts. See HubSpot integration.
- Salesforce, Pipedrive and others: you can connect them today. Module actions are built per engagement through their APIs.
- The surrounding tools: Gmail, Outlook, Google Calendar, Outlook Calendar, Calendly, Slack and DocuSign are live today. These are what make CRM records update themselves.
The integrations page shows the current status of every app. If your CRM isn't listed, we check its API on the call. Connecting AI across several systems is covered in AI integration services.
What we run today
We run our own operations on these systems. Every one below is live today.
Lead follow-up for our own sales team
Every inquiry from an online marketplace is logged and gets a drafted reply within minutes. A person approves each reply before it goes out, and follow-ups run on schedule.
A back office that runs itself
Contacts from every company mailbox pulled into one list, automated senders removed, duplicates merged, and the rest split into call and email lists. One dashboard tracks every task.
Monitoring and reporting for a trading group
A monitoring and reporting layer built on the systems the team already runs, so they see what changed and what needs attention without digging for it.
